Overview

Revenue Defenders(“we,” “our,” or “the service”) is a revenue protection platform for service businesses. This Privacy Policy explains what data we collect, why we collect it, how long we keep it, and your rights regarding that data. We take privacy seriously and collect only what is necessary to deliver the service.

Data We Collect

We collect the following categories of information depending on how you use the service:

  • Business account information: Name, email address, business name, and business website URL provided during signup or onboarding.
  • Website scan data: Publicly accessible content from your business website (page structure, contact paths, form fields, policy text). We do not scan password-protected areas.
  • Scan results and findings: Scored revenue-gap findings generated from website analysis, stored in your account for your review.
  • Lead and customer data: Names, email addresses, and phone numbers of your leads and customers, provided by you or captured through your installed recovery system (web forms, missed-call flows).
  • Call and SMS metadata: When Twilio-powered missed-call recovery is active, we log call timestamps, caller phone numbers, and SMS delivery status. We do not record call audio.
  • Booking and event data: Booking attempt timestamps and completion status from integrated scheduling tools (such as Calendly), used to detect abandonment and trigger follow-ups.
  • Evidence files: Documents, screenshots, communications, and service records you upload to support dispute defense. These are stored securely and accessible only to your account.
  • Payment and billing information: Subscription and billing data managed through Stripe. We do not store raw card numbers — Stripe handles payment processing under their own privacy policy.

How We Use Your Data

  • Service delivery: Scanning websites, generating findings, running recovery automations, and building evidence timelines for your business.
  • Fraud prevention: Detecting unusual activity patterns and protecting the integrity of your account and data.
  • Evidence retention: Preserving documentation of service delivery, communications, and policy states for use in dispute defense packages.
  • Communications: Sending transactional emails (alerts, scan results, follow-up confirmations) and, where consented, product updates.
  • Platform improvement: Aggregated, anonymized usage patterns to improve reliability and features. We do not sell individual data.

Prospect Data

When you use our free revenue scan without creating a paid account, we collect your name, email address, company website, and optional industry/goal preferences solely to deliver the scan results and to communicate your verification code.

Retention: Prospect data (name, email, scan results) is retained for up to 180 days from your last activity. If you do not convert to a paid account within that window, your prospect record and associated verification codes are permanently deleted via an automated cleanup process. Verification codes themselves expire after 24 hours.

Data Retention and Export

Account and scan data is retained for the duration of your subscription and remains accessible after cancellation until you explicitly request account deletion. Evidence files and dispute packages are retained for up to 3 years given their potential legal relevance, unless you request earlier deletion. Call and SMS metadata is retained for 12 months.

Data export: You can request a full export of all your account data at any time from your account settings (Settings → Data Export). Exports are typically ready within a few minutes. A download link is sent to your email and remains valid for 7 days from the time the export is ready.

Account deletion: To permanently delete your account, you must submit an explicit deletion request from your account settings. Upon request, your account enters a 30-day grace period during which you can cancel the deletion at any time and restore full access. After the grace period, all data is permanently and irreversibly removed. We recommend downloading your export before requesting deletion.

Data Sharing

We do not sell your data. We share data only with sub-processors necessary to deliver the service: Twilio (call/SMS), Stripe (billing), Resend (email delivery), OpenAI (AI-assisted analysis), and our hosting infrastructure (Render, Neon/Postgres). Each sub-processor is bound by data processing agreements appropriate to their role. We may disclose data if required by law or to prevent imminent harm.

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (“right to be forgotten”)
  • Object to or restrict certain processing
  • Receive a portable copy of your data

Many of these actions are available directly from your account settings without contacting us: Settings → Data Export for a full portable copy, and Settings → Account to request deletion (subject to a 30-day grace period). Cookies and Tracking

We use session cookies for authentication and minimal first-party analytics to understand aggregate usage. We do not use cross-site tracking or ad networks. You may disable cookies in your browser settings, though this may affect authenticated functionality.
